Your email is changing for the better

Those "Your mailbox is full" messages may become old history when all ITD email boxes move to "Exchange on-line" over the next few weeks. ITD, along with Department of Administration, will move to Exchange on-line email as part of the Idaho Consolidated Systems (ICS) effort. This will connect multiple state agencies on a consolidated email platform.

The move will allow all participating organizations to communicate better, share calendars and provide individual users a staggering 50 gigabytes of file storage rather than the 250 megabytes currently allowed. Users also will be allowed unlimited archive space for their email files.

Current Outlook users should see no change in how they use their mailbox to send and receive emails, explained Dave Merriweather, with Enterprise Technology Services.

"People will still use their Outlook program for email activities," he said. "You will still be able to log in remotely using Outlook Web Access (OWA)."

Instructions will be coming regarding how to set up smart phones and tablets for the new cloud-based email environment and the archive process. There also will be a different email SPAM filter, with instructions to be provided.

A few people at ITD will begin piloting the project next week (July 20-26). All ITD mailboxes will be moved to the new environment during the last week of July and the first full week of August.

Joining ITD will be agencies such as the Idaho State Tax Commission, Idaho Department of Commerce and the Department of Administration.
