ITD Advantage update

Janice Biggins
ITD Advantage Project Manager
The Idaho Transportation Department kicked off the initial phase of its Advantage Project (transition to new Integrated Financial Management System) in mid-April. The CGI-AMS consultants began arriving at Headquarters on April 19. In addition, the ITD project manager has begun working full time on the transition effort.

This initial part of the project is called the “Envision” phase, which primarily consists of analysis, learning and prototyping.

Over the past few weeks, the CGI-AMS consultants have conducted business process review sessions to gain a better understanding of the ITD financial, procurement and human resource business processes. Concurrently, the ITD core team members have been working through self-guided online and instructor-led training to become more familiar with the AMS (American Management Systems) Advantage software.

The technical team also has been setting up the prototype environment and “populating” the new system with information from the existing Oracle application. Although the conversion process has involved some challenges, the team is making progress in moving data into the prototype so we can begin working through our business scenarios in the AMS Advantage software.

By the conclusion of this phase, the CGI-AMS consultants will have completed an Implementation Assessment Document that contains the fit-gap analysis, interface and conversion approaches, technical assessment, reporting approach and a cross-reference to the RFP requirements. The document will be used in the subsequent phases of the project, especially the “Create” phase that will immediately follow the “Envision” phase. The former has a target completion date of mid-August.

Individuals who want to learn more about the status of this project can refer to IFMS Projects (http://intranet/admin_services/Financial/IndexIFMS.htm) on the ITD Intranet, which contains the latest weekly status reports, steering committee minutes and other information.
